Privacy policy

The privacy and security of your personal information is extremely important to us. This privacy policy explains how and why we use your personal data, to make sure you stay informed and can be confident about giving us your information.

To sign up for our mailing list, we require your email address to contact you with our marketing newsletters and emails.

To submit a meeting room or group booking enquiry, we require your name, email, address and contact telephone number to enable us to contact you about the requested booking.

To submit a volunteer application form, we require your name, email and contact telephone number to enable us to contact you about your application.

To make a purchase via our shop we need to have your name (First, Last) and email address. This is to do two things:

1. To enable us to fulfil your order with us, it is used to send you your email confirmation with a link to your download of the book.

2. We also embed your full name, email address and date of purchase into the PDF copy of the book you can download, this is to stop any unwanted sharing or printing of our book. We do not share these details with any third parties, and they are not used to contact you for any purpose other than about your order.

All of the information that is collected on our website will be handled in accordance with GDPR legislation.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

We use Google Analytics to monitor site visitor numbers. We do not store any personally identifiable data on our websites.

We will not share any data given during meeting room, group booking or volunteer applications forms outside of our organisation.

In order to process payment via our online shop, we use PayPal. During checkout on their website, you will need to fill out any information they require to complete and process your order, however, we do not directly share any of your personal data other than your name and email address, and only then, with PayPal. Whilst on PayPal, you will be covered by their GDPR and data protection. We do not receive any payment information, it is all processed directly with PayPal.

Data given via meeting room, group bookings or volunteer application forms will be stored for up to 1 year.

If you opt-in to our newsletter, your details will be stored until such time you opt-out of communications.

If you have made a purchase with us, we will retain your name, email address and an automatically generated order number unique to your order for up to 12 months. This is solely to keep your order available should you require to download your purchase again. 

You can request a copy of all data we hold about you.

We will be more than happy to update or delete any personal data upon request (please email newmanbrothers@coffinworks.org quoting your name and, if applicable, order number) and we will remove your data from our website. This will delete your name, email, telephone number, address and any order you made with us, please note, this will mean you can no longer re-download your purchase.

Your data is only used on our website and Mailchimp, only PayPal will require further information if you purchase a product.

You data is encrypted when you enter any information onto our website, and our database is also encrypted.

Volunteer policy

Here you’ll find information on volunteering including our policies and expectations.

Volunteering is important to Birmingham Conservation Trust’s work. This statement is designed to demonstrate our commitment to volunteering and individual volunteers, ensuring all volunteers are treated consistently, equally and fairly. We believe we can achieve more with volunteers. We value and appreciate the full worth of all volunteers.

  • You will be made to feel welcome by the organisation
  • Your skills will be matched with our opportunities wherever possible
  • You will be volunteering for an organisation which opposes all forms of illegal discrimination
  • You are covered by Birmingham Conservation Trust insurance if working under our instruction

  • Work safely and responsibly
  • Attend appropriate training and promote understanding and enjoyment of Birmingham’s built heritage
  • Be able to commit to a four hour shift on a fortnightly basis
Birmingham Conservation Trust reserves the right to withdraw an offer of volunteering if the above criteria are not fulfilled or if the conduct of a volunteer negatively affects other volunteers or staff. For the avoidance of doubt volunteers are not employees or members of staff and it is not intended that they should be.

You will be entitled to claim back travel expenses to and from the place of volunteering. This includes mileage. The maximum rate per day is £5, including parking (please submit receipts or tickets).

Claiming other ‘out of pocket’ expenses need to be agreed in advance with Coffin Works’ staff and you will need to keep a receipt for your claim.
